Thank you for your interest in participating as an Overseas Buyer at Bharat Electricity Summit 2026.

To support global trade partnerships and facilitate meaningful B2B engagement, BES-2026 offers an Airfare Assistance Programme, subject to approval by the Organizing Committee and the Indian Embassy/High Commission/Consulate in the applicant’s country.

Please read the below text carefully along with the documentation requirements before applying.

Airfare Assistance Programme

You may qualify for airfare assistance if (Please tick all the individual checkboxes below):

• You represent a legally registered business entity in the power generation, power transmission, power distribution, energy storage & battery, energy efficiency solutions, digital solutions, renewable & clean energy & power startups & Innovation or related sectors.
• Your application is approved by the Organizing Committee.
• You arrive in New Delhi on 18 March 2026 (evening) and attend the full summit from 19–22 March 2026 at Yashobhoomi, New Delhi.
• You participate physically in all compulsory B2B meetings at the B2B Lounge at the venue.
• You submit all required documents in the prescribed format.
• You provide a mandatory Self-Declaration on Criminal & Financial Conduct document (as per prescribed format).

What the Assistance Covers:

Complimentary Accommodation

• 4 nights of stay (18, 19, 20 & 21 March 2026) in an official partner hotel.
• Standard hotel timings: Check-in 14:00 hrs | Check-out 11:00 hrs.
• Extra nights or early check-in/late check-out will be at the buyer’s personal expense.

Airfare Assistance

• Round-trip Economy Class airfare (shortest route).
• Airfare assistance up to a certain limit in USD as mentioned in website for your country subject to approval of your application by the organising committee.
• Airfare assistance amount will be transferred to the company bank account provided by you within 45 days after the completion of the show.
• Payment will be made to the buyer’s company bank account only.

Local Hospitality

• Complimentary airport pick-up and drop.
• Shuttle service between hotel and exhibition venue.
• Complimentary lunch during exhibition days.
• Invitations to networking events.
• Profile promotion within the BES-2026 business network.

Documents required for Airfare disbursement:

Please ensure the following documents are submitted after your visit:

Travel & Identity

• Passport copy (front & back)
• Indian visa copy
• Immigration entry & exit stamps
• Boarding passes (both ways)
• Air ticket (economy, shortest route)
• Travel agency invoice (if fare is not printed on air ticket)

Event Participation

• BES-2026 Invitation Letter (Organizer will provide)
• Signed B2B Meeting Attendance Sheet
• Duly filled Feedback Form

Banking & Compliance

• Bank details for SWIFT transfer (on company letterhead)
• Request Letter for Airfare Assistance (as per prescribed format)
• Self-Declaration on Criminal & Financial Conduct (as per prescribed format)

Incomplete or incorrect submissions may delay or cancel airfare disbursement.

1. 1. All documents undergo verification by:

   • BES-2026 Organizing Committee
   • Compliance Team

2. 2. Approved disbursement amount will be processed within 45 days from the completion of the show and post submission of all necessary documents.

3. 3. Assistance will be denied in cases of:

   • Non-attendance of B2B meetings.
   • Shortened stay or early departure.
   • Incorrect/fraudulent documents.
   • Misconduct or behaviour against public interest.
   • Embassy-level disapproval.
